Room Reservations

Policies and Procedures

Reservation requests must be submitted via our request form to ensure all required information is captured.

Reservations
  • Rooms are reserved on a first come, first serve basis, with priority given to CREATE programs and projects, then Social Sciences departments and programs.
  • Scheduling opens one quarter in advance. For example, Winter is not available for booking until the first day of Fall.
  • You must include setup and breakdown time to ensure you do not delay the next meeting.
  • You cannot use a room without a reservation. If you are using the room during someone’s scheduled time, you will be asked to leave promptly.
  • Occasionally a reservation may need to be rescheduled. The original requestor will be emailed if this occurs.
Use and Setup
  • All conference rooms at PEB and SSRB are accessed using keys. One Card access is only needed when users need to access the PEB conference rooms before or after business hours or on weekends, specifically to use the elevators and to open the door to the CREATE suite.
  • No room space support or A/V tech support will be provided.
  • Alcohol is not permitted. Any food, beverage, utensil, etc. arrangements are the responsibility of the requesting group. Do not take items from the shared kitchen area.
  • Report any broken room equipment to Darren De Leon at d1deleon@ucsd.edu.
Cleanup and Care
  • The room must be completely reset and cleaned, including wiping of tables and removal of all leftover food, drinks, containers, and trash before leaving so it is ready for the next meeting. Failure to do so will result in a facilities charge plus any expense incurred. Charges will also result from equipment losses, room damages, or custodial cleanup.
  • If your group uses the kitchen, clean the sink and microwave, and keep the area clean. Do not leave food waste, dirty cups, dishes, or utensils in the sink and microwave.
Noise and Security
  • Since the room locations are near office spaces, we reserve the right to refuse any request based on likely noise level expected from the event. Amplified sound may be restricted if deemed disruptive to office staff.
  • You are responsible for ensuring the door to the room is closed and the premises are secure after the event has concluded.
  • Do not enter office spaces without consent and/or use equipment/supplies in the workstation area without permission.
  • Evacuate immediately when the fire alarm goes off, even if you are in the middle of a meeting.

Violations of the guidelines may result in loss of future use privileges and/or charges. Please contact Darren De Leon at d1deleon@ucsd.edu if you have questions.
